WildBot — Privacy Policy

WildBot ("the Bot") is a Discord application that provides Elder Scrolls Online statistics, Twitch stream announcements, giveaways, and moderation tooling for the WildHeart ESO community and other servers that have invited it. This policy explains what data the Bot handles, why, and for how long.

By adding the Bot to a Discord server, or by using its features, you agree to the handling of data described below.

1. Summary

The Bot is deliberately minimal in what it retains. It stores Discord user IDs and information you voluntarily submit when entering a giveaway. It does not store message content, does not read direct messages, does not build or export member lists, and does not sell, rent, or share data with third parties.

3. Message content

In one server, the Bot operates an anti-raid system that detects a single account posting identical text across many channels in a short window. To do this it holds recent message text in memory alongside a timestamp and channel ID.

This data is held in memory only, for a maximum of 60 seconds, and is pruned on a recurring cleanup cycle. It is never written to disk, never logged, never transmitted anywhere, and is discarded when the Bot restarts. No message content is retained after the detection window closes.

The Bot does not process message content in direct messages, and does not process message content in servers where this protection is not enabled.

4. Account information read but not stored

When a user joins a server with join screening enabled, the Bot reads the account's creation date in order to decide whether the account meets the minimum age requirement. This value is evaluated at that moment and is not written to storage.

The Bot queries the following external APIs to produce its public-facing features. No Discord user data is transmitted to any of them.

7. Sharing and disclosure

Stored data is not sold, traded, published, or shared with any third party. It may be disclosed only where required by law, or where necessary to comply with Discord's Developer Terms of Service and Developer Policy.

8. Storage and security

Data is stored in local databases on infrastructure controlled by the Bot's operator, accessible only to the operator. Given the limited nature of the data held, no special categories of personal data are processed. No system is perfectly secure, and the Bot is provided without warranty as set out in the Terms of Service.

9. Your rights

You may request access to, correction of, or deletion of any data the Bot holds about you by contacting the operator using the details in section 12. Requests are actioned within a reasonable period.

You can remove most of your data yourself: leaving a giveaway or the server removes the associated entry, and asking a server moderator to delete your join-screening exemption removes that record. Removing the Bot from a server ends all processing for that server.

10. Children

The Bot is not directed at children. Discord requires all users to be at least 13 years old, or older where local law sets a higher minimum age. The Bot does not knowingly retain data belonging to anyone below that age; if such data is identified it will be deleted.

11. Changes to this policy

This policy may be updated from time to time. The "last updated" date above will change when it is. Continued use of the Bot after an update constitutes acceptance of the revised policy.
